Admin and Finance Assistant 

Conservation Strategy Fund Indonesia (Yayasan Strategi Konservasi) is seeking an experienced Administration and Finance Assistant to assist the operations of Yayasan Strategi Konservasi’s office in Indonesia. The Assistant will oversee the implementation of administration, finance and human resources tasks and report to the Admin and Finance Manager. 

A successful candidate will have a minimum seven years of experience in the field of administration, finance and human resource. S/he will have excellent English verbal and writing skills, highly functional organizational skills, strong self-motivation, dynamic working skills, and a positive, enthusiastic attitude. The Assistant will be based in Jakarta and will be traveling domestically up to 10% of the time. 

Job Description

The Administration and Finance Assistant will primely assist the work of the Admin and Finance Manager.

The key responsibilities of the role include:

  1. Administration
  • Assist with travel plans and logistics
  • Purchase office supplies and keep office organized
  • Prepare for Board of Directors meetings by printing agendas, minutes, and other documents
  • Maintain organizational files and documents
  • Serve as first point of contact for the organization
  • Manage repair and maintenance of office equipment, including computers, phones and printers
  • Perform general administrative support
  1. Finance
  • Manage all expense documentation for CSF operations in Indonesia
  • Assisting the Tax Consultant in coordinating the Training related to Tax Issues for CSF Indonesia’s staffs
  • Prepare insurance payments respectively for the payments of BPJS Kesehatan and BPJS Ketenagakerjaan
  • Preparing contracts for grants, consultants and consulting companies and monitor the payments and track reporting deadlines
  • Assisting the Admin and Finance Manager in updating the finance guidelines in timely manner
  1. Human Resources 
  • Manage and evaluate worker’s compensation and coordinate with Tax Consultant for any up-dates on BPJS Ketenagakerjaan and BPJS Kesehatan issues which related to updates on the calculation for Tax PPh 21 Staff
  • Coordinate insurance coverage for staff and the organization
  • Coordinate with Admin & Finance Manager in staff recruitment process for CSF Indonesia Office
  • Maintain HR records and data as required by law
  1. Additional duties

Additional duties as assigned by the Admin and Finance Manager

Expected Domestic Travel

  • 5-10% of all workdays in a year

Relative Position

  • Report to Admin and Finance Manager
  • Coordinate with the CSF Indonesia Team
  • Work in parallel, mutually supporting and in close coordination with Finance and Admin Manager and Program Manager

Qualifications

  • A bachelor's degree in finance or accounting, business administration, or a similar field
  • A minimum of 7 years experience working as an Admin and Finance Assistant
  • Working knowledge of Microsoft Office software
  • Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind
  • Excellent analytical skills and financial prowess.
  • Good organizational and time-management skills.
  • Strong team player with solid communication skills.
  • High levels of integrity and ability to handle confidential information.
  • Professional fluency in English, both spoken and written
  • Proactive, highly motivated, and willing to learn
  • Organized, flexible, detail-oriented, good problem-solving skills, and efficient.
  • Has high cultural sensitivity working with people from diverse backgrounds, beliefs, ethnicities, cultures, and nationalities. 
  • Excellent interpersonal skills, tactful, and positive attitude

Remuneration Package

  1. Salary level commensurate with qualifications and experience
  2. Holiday bonus/13th month salary – as mandated by law
  3. Health and employment insurance – as mandated by law
  4. Medical subsidy reimbursement – maximum 50% of gross monthly salary per year with an annual limit.
  5. Annual leave – 15 multi-purpose days
  6. Contract period is on annual basis and will be extended based on performance and budget availability
